SHARING FROM SKYFISH
How to share a folder with a user or group?
Only users with the folder right “Edit & Upload” can share a folder with other users.
1. Mark the folder
2. Select “Share folder” in the upper menu (or by right-clicking the folder)
3. Find the relevant user(s) or/and group(s) in the list
or use the search bar just below
4. Select all users that will be given the same folder right
5. Click “Set folder rights” in the bottom right corner to go to the next page
6. Decide if the user needs an email notification about the given folder access
7. Select the relevant folder access
8. Click “Share folder”
or:
1. Go to Folder Management in the bottom left corner
2. Find the relevant folder in the overview, eg. by using the search function
3. Click “User access”
4. Select between “Users” and “Groups” at the top left
5. Share with selected users and groups by choosing the relevant folder rights
Sharing a subfolder
Follow the guidelines above.
When you share a subfolder with other users, the parent folder will not be visible to them. The subfolder will look like a parent folder in their Skyfish.
For Admins:
Admins can look up all folders in the organization’s Skyfish, and they can give access to both themselves and other users.
- Go to Folder Management at the bottom left
- Find the folder in the list or by using the search bar
- Click “User Access”
- Use the small arrow on the right to edit the individual folder rights
Or give yourself access by clicking “Add to drive” - Close the window in the bottom right corner
How to share a folder or a file via a link?
All users with access to a folder can share the whole folder or a selected file from it by creating and sharing a link with someone who is not a user in your Skyfish account. It only takes a few seconds.
Share a folder:
- Right-click the folder and select “Share link” in the menu
OR mark a folder and select “Share link” in the side panel on the right - Select for how long the link should be active:
- The link never expires (you can deactivate it anytime*)
- A time-limited link (you can reduce the number of days before the link expires)
- Select “Allow external users to upload to this folder” to let the receiver(s) of the link send you files directly to Skyfish. If necessary, the upload function can easily be switched on and off* later
- Click “Copy Share Link” and the URL is ready to be inserted in an email, sms, on a website, or wherever you can use it
Share a file:
- Mark the file and select “Share Link” in the upper menu or by right-clicking the file
- Select for how long the link should be active:
- The link never expires (you can deactivate it anytime*)
- A time-limited link (you can reduce the number of days before the link expires)
- Click “Copy Share Link” and the URL is ready to be inserted in an email, sms, on a website, or wherever you can use it
Where can I find my shared links?
Skyfish keeps an overview of all your shared links. Every user can see his own active links and admin(s) can see all active shared links in the organization’s account, including who created them.
Also, you can turn the upload function on and off in shared links to folders.
In your Skyfish Drive, click “Shared Links” in the side panel on the left to go to the overview.
Find a specific link by searching for the file name or the URL.
For Admins:
At the top of the shared links overview, choose between “Shared by me” and “Shared by others”.
Can I make a shared link inactive?
Yes, all users can delete any active shared link that they have created which will make it inactive immediately.
Admin(s) can delete any active shared link, no matter who created it.
Every time you select “share link” for the same file, a new link will be created. Hence, you might find the same folder or file several times in your overview.
To make sure that you delete the right link in the overview, compare the URLs.
- Click ”Shared links” in the side panel on the left
- Find the relevant shared link by sorting alphabetically or inserting file/folder name or URL in the search bar
- Click “Remove”
Can I add/remove the upload function in a shared link?
Yes, you can always add and remove the upload function in any of your active shared links.
Admin(s) can make this change for any active, shared link – no matter who created it.
- Click ”Shared links” in the side panel on the left
- Find the relevant folder on the list.
You can sort alphabetically by clicking “Shared item” at the top of the column or you can use the search bar at the top right - Add or remove the checkmark in the “Upload” column
How to edit sharing options for all users?
Admin can decide for how long users’ shared links can be active and if users should be able to allow upload from externals or not.
- Go to Settings
- Select “General” in the Admin menu
- Under “Shared links” at the top of the page, select the sharing options that should be available to your users
- Click “Save”
How to use video streaming?
Stream your videos straight from Skyfish without having to move your file anywhere. Your audience will see your video without any advertisement or cookies and it won’t be possible to download the video. Skyfish gives you full control!
- Right-click the file and select “Video Streaming” in the menu
- An embed code will be generated and sent to your email. It will also be saved with the video file in Skyfish. The bigger the file, the longer it will take to create the code – so please be patient
- You can copy the embed code straight from the email you receive
or, for more options, go back to Skyfish to select “Video streaming” from the menu. Before you click the “Copy Code” button, you can:
– change the size of the video
– add subtitle file - Insert the embed code in your CMS system or where you want to play the video from
How to terminate the streaming of a specific video?
- Right-click the video and select “Video Streaming” in the menu
- Click “Delete this Embed Code”
Please note, that it can take up to a few hours before the video stops playing from your platform. Hence, you may want to also remove the embed code from your CMS system.
If you remove the video file from Skyfish, the video can no longer be streamed on your platform.
How to use our skyfish images on our website?
You can of course download images from Skyfish and upload them to the platform you want to showcase them from. But there’s an even better way: creating a CDN link to the file in Skyfish and using this link on your platform will save both time and data – just as it will give your target group a smooth experience with your website.
How to create a CDN-link?
CDN Links is included feature in Skyfish Enterprise and can be added to Skyfish Professional.
The feature must be activated by an admin.
Users must be given permission by an admin to create CDN-links, otherwise, the feature is not available to them.
- Right-click the image you want to publish online and select “CDN Link” in the menu
- Wait a few seconds while Skyfish creates the link
- Change the format of the image if needed
- Click the “Copy Link” button
- Insert the link in your CMS system
What is CDN?
CDN is short for Content Delivery Network which is a global network of servers located throughout the world with the aim of increasing the speed of the Internet by always delivering content from a server close to the user.
CDN works in the same way as an ATM. By having machines located around the city, it is easy and quick to withdraw money. You don’t have to stand in a queue at the bank, but can instead immediately withdraw money from an ATM where you are.
CDN creates balance in the traffic on the Internet by giving everyone searching for content the best possible web experience.
Since the CDN delivers content from a server close to the user, it is the user’s location that defines where the content is stored and it can potentially be on servers in third countries.
How to give other users access to CDN Links
Admins share the CDN feature with other users the same way as a folder is shared:
1. Right-click “CDN Links” on your left and select “Manage permissions” in the menu
2. Select the users and groups who need access to the feature
3. Click “Set Folder Rights” in the bottom right corner
4. Decide whether the user should be able to view and copy an already created link (“View”) or if they should be able to create and delete CDN links (“Edit”)
