How to create a folder?
- Right-click “Skyfish Drive” at the top left and select “Create folder”
OR mark “Skyfish Drive” and click the “Create folder” button in the top menu - Name the folder
- Optional: add tags that describe all content in the folder, including all subfolders. Folder tags are automatically added to every file in the folder
- Click the “Create” button
All users who have access to the main folder are automatically given access to the subfolder.
How to upload a folder?
Only admins and users with the folder right “Edit & Upload“ can upload folders to your Skyfish.
Upload folders from your computer:
Right-click Skyfish Drive and select “Upload folder”
OR mark “Skyfish Drive” and click the “Upload folder” button in the top menu
Select the relevant folder(s) on your computer and click “Upload”
You can also drag and drop from your computer’s drive.
Upload subfolders from your computer:
Go to the folder in which you want your subfolder
Click the “Upload folders” button in the top menu or in the right-click menu
Select the relevant folder(s) and click “Upload”
Alternatively, you can drag and drop folders from your computer to Skyfish.
Who can create a folder?
Any Skyfish user can create new folders.
If the folder has not been shared with other users, only the creator of the folder can see it.
However, admin(s) can see all folders in the organization’s Skyfish and can give themselves full access to them anytime.
The user who creates the folder will automatically get the highest folder right to it (“Edit & Upload”) and can share it with other users as well as decide on what folder rights they should have.

Who can create a subfolder?
Only users with “Edit & Upload” right in the parent folder can create subfolders.
Who has access to the folder?
Only admins and users with the folder right “Edit & Upload” can see a list of users with access to the folder.
- Select a folder
- Find a list of users who have access to the folder in the Folder Info side panel on the right
(if you do not see the side panel, click the “Info” button in the top right corner)
or
- Go to Folder Management in the bottom left corner
- Find the relevant folder in the overview, eg. by using the search function
- Click “User access” to find users and groups who have access, including their folder rights which you can edit here
Where can I see all the folders we have in our account?
Only admin(s) can see a list of all the folders in the Skyfish account.
- Go to Folder Management at the bottom left corner
- At the top of the overview, you can click “User Trash” if you are looking for a folder that has been deleted within the last 30 days
- You have access to folders with a checkmark in the “Member” column
You have no or limited access to folders with an x in the “Member” column
How do I give myself access to a folder?
Only admin(s) can give themselves access to all folders in the Skyfish account.
- Go to Folder Management at the bottom left corner
- In the Folder Actions column, click “Add to Drive” to get immediate access to the folder
- Find the folder in your Skyfish Drive
Remove your folder access:
- Go to Folder Management at the bottom left corner
- In the “Folder Actions” column, click “Leave folder” to remove your own access. Other users will keep their access to the folder.
How to move a folder?
- Right-click the folder and select “Move” in the menu
- Select “Skyfish Drive” to make it a main folder
OR select the folder in which you want to make it a subfolder - Click the “Move” button
You can also use the drag-and-drop function to move a folder.
How to lock a folder?
The “Lock folder” option is a security tool. It is not possible to delete or move files from a locked folder, nor can new subfolders be created. Files can still be uploaded to the folder
Only admin(s) can lock – and unlock – a folder.
- Right-click the folder and select “Lock Folder”
How to unlock a folder:
- Right-click the folder and select “Unlock Folder”
A folder can also be locked and unlocked from Folder Management:
- Go to Folder Management in the bottom right corner
- Find the folder in the overview or by using the search bar
- Click “Lock” or “Unlock” in the “Folder Actions” column
What type of files can be uploaded to skyfish?
Skyfish is designed to focus on images but any type of file can be uploaded. However, it is not possible to see a thumbnail preview for all file types.
How to upload files?
Only users with upload rights to a folder can add files to it.
Upload files from your computer:
- Go to the relevant folder in Skyfish
- Click “Upload Files” in the top menu or select the option in the right-click menu
- Select the file(s) you want to upload and click “Open”
Alternatively, you can drag and drop folders from your computer to Skyfish.
Skyfish can handle a large amount of data when uploading via browser, but should you run into problems, we recommend using an FTP program. (How to upload via FTP?)
Upload from external users
People who are not users of your Skyfish can also be given access to upload files to a folder via a link to the folder. The upload function in the link can easily be switched on and off.
How to upload via FTP?
FTP is hardly needed for upload to Skyfish – the platform is set up to handle large uploads via your browser. However, should you want to upload via FTP anyway, you will need the following details:
Go to the address ftp.Skyfish.com in your FTP program. There, the following details should be used:
- Hostname: ftp.Skyfish.com
- Username: your email address for Skyfish
- Password: your password for Skyfish
The files will be uploaded to a folder in your Skyfish drive named “FTP [time for upload]”. From here, move the files to the desired location in Skyfish.
How to upload from Dropbox?
- Go to Settings
- Select “Dropbox import” in the Account menu
- Read the information and click “Allow access (required)”
- Sign in to your Dropbox account
- In the pop-up window, allow access to your content
Who uploaded the file?
- Mark the file
- In the File Info on the right, you will find “Uploaded by…” in the overview
(if you do not see the side panel, click the “Info” button in the top right corner to open it)
If a file has been uploaded to a folder via a link that was shared with a person who is not a Skyfish user, the “Uploaded by” information will indicate the name of the user who created and shared the link.
If a file was uploaded by “deleted user”, the user was later deleted from Skyfish and the name removed according to GDPR.
How to copy and move a file?
Only users with “Edit & Upload” rights can copy and move a file.
- Right-click the file(s)
- Select “Copy/Move” in the menu
- Select the folder in which you want to place your file(s)
- Click the “Move” or the “Copy” button
You can also use the drag-and-drop function to move a file to another folder.
How can I find all copies of a certain file?
- Mark the file
- In the File Info on the right, you will find “This file is located at…” which will show in what folder(s) the file can be found
(If you do not see the side panel, click the “File/Folder Info” button in the top right corner to open it)
To remove duplicates, make a search that will show the relevant images.
Then mark the file(s) that you want to delete and click the “Delete” button in the top menu or by right-clicking. If the file is placed in multiple folders, you are given the option to select exactly which you want to delete.
How to edit a title or add a description to a file?
Only users with “Edit & Upload” rights can change the title or the description for a file.
- Mark the file and click “Edit” next to the title or description in the side panel on the right
OR right-click the file and select “Rename” in the menu - Overwrite the existing title (or file name) or add/overwrite the description
- Click “Save”
When you have downloaded a file from Skyfish, search for the file name on your computer, not the title from Skyfish. The file name is found in the “Metadata” in the side panel on the right.
How to share important information about a file?
Share important information regarding the use of a file, in a way that cannot be overlooked (e.g. “remember to accredit the photographer”).
The download notes are shown as pop-ups when a user tries to download or edit a file. The notes will also appear when a receiver of a shared link downloads a file.
Download notes can be added by users with “Edit & Upload” rights in the folder.
Create (or see) a download note:
- Right-click the file and select “Download Notes” in the menu
- Write the relevant information
- Click the “Add Note” button
Edit or delete a download note:
- Right-click the file and select “Download Notes” in the menu
- Hover over the note and click “Edit Note” to make your change. Press Enter to save.
OR click “Delete Note”
Can I add a time limit to a file?
If you want to make an image available only for a limited time, add an expiration date. On this date, the file will appear faded and marked “Expired” and it can no longer be downloaded, shared, or accessed.
People who access a folder from a shared link cannot see expired files.
In the Public Media Gallery, expired files will disappear from the gallery view. They will still be visible from within Skyfish, although they can no longer be downloaded.
Only users with “Edit & Upload” rights can add, modify, and remove an expiration date.
Add an expiration date:
- Mark the file and click “Edit” next to “Expiration Date” in the side panel on the right
OR right-click and select “Expiration date” in the menu - Write the year/month/day for the expiration
OR click the calendar icon to select the date - Click “Save”
If you have the Skyfish Consent tool, the system will keep track of consent expiration dates for you and inform users of expired consents before they download images.
How to edit image files in skyfish?
The Editing Tool lets users adjust, crop, resize and add effects to images. A modified image can be downloaded or saved as a copy without ever harming the original file.
Cropping has not yet been fully implemented in the new Skyfish, so please go to Skyfish Classic by clicking your name/photo in the top right corner to find the feature.
- Double-click the image file to get a full-screen preview
- Click the brush icon in the menu
- (if a Download Note has been added, just click “OK” when you have read and accepted the note)
- Select and use the wanted editing option
- Click “Save” to keep a modified copy of the file in Skyfish
or click “Download” to download the modified image without saving any changes in Skyfish
Everyone with access to a file can use the Editing tool.
For Admins:
Add cropping sizes tailored to your organization’s specific needs:
- Go to Settings
- Select “General” from the Admin-menu
- Find “Predefine Cropping Sizes” at the bottom of the page
- Add all the cropping sizes that you need and give them relevant names
- Click “Save”
Restrict the use of the editing tool by making it available only for users with “Edit & Upload” rights:
- Go to Settings
- Select “General” in the Admin menu
- Find “Editor” to add or remove the check mark
- Click the “Save” button
